What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to save your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who we share your data with

Information such as your name and email address will be shared among participating members during the normal distribution of information in relation to functions, attendance lists at rallies etc.

Information will also be shared between officers and committee members of the MCCSW and MCCEW. These officers and committee members may hold your data in an electronic form on personal computers and/or paper format. Your information will not be given to any other party either masonic or non-masonic other than those identified in this document.

It will also not be used for marketing purposes outside of the MCCSW and MCCEW

When MCCSW and MCCEW officers and committee members leave their office they will be required to pass on your data to the incumbent individual and remove your data from their own records (Electronic and Paper). If you leave the MCCSW your data will be erased from all MCCSW and MCCEW databases and paper records held by MCCSW and MCCEW Officers and Committee Members.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

To be informed – This document contains the information you should be aware of when joining or as a member of the Masonic Caravan Club of England and Wales.

Access – you can ask us what data of yours we are processing, the reason we are processing it, what personal data is involved and who we have sent that data to. You have the right to request access to any of your personal being processed by us. On request we will provide you with an initial copy of the data requested either in paper or electronic format free of charge. Any subsequent copies we may charge you a fee to cover our administration costs.

To rectification – If you become aware that any personal data we hold is not accurate or is incomplete, you can ask us to correct it.

To erasure – You can ask us to delete some or all of your personal data and or prevent the processing of it.

To restrict processing – You may ask us to restrict processing of personal data where you question the accuracy of the personal data or where we no longer need to process your data but need to keep it to defend any legal claims.

To data portability – You can ask us to provide a copy of, move or transfer personal data from one IT environment to another in a safe and secure way. We will provide your personal data to you in a structured, commonly used and machine-readable form. We will respond to your request without unnecessary delay but we may take up to two months from the receipt of your request depending on the complexity and volume of data;

To object – You can object to us processing your data based on legitimate interests or the performance of a task in the public interest; and direct marketing to you.

Not to be subjected to automated decision making including profiling – Currently, we do not have any processing operations where automated decision making is part of a process.

By applying to be a member of the MCCSW and MCCEW and by completing the MMCSW  application form, you give us permission to hold your data and to use it as explained in the document.

You may at any time remove consent for us to use your data, however, this will require you to leave the MCCSW as we will be unable to manage your membership.
